Today we will talk about an Amazon Web Service that can help your business or organization be more productive. Its name is Amazon Alexa, and it works as an intelligent assistant.  

Alexa can be used to be more productive in meeting rooms, at their desks, and even with devices they use at home. If Alexa is used within an IT facility, it can be used to increase the utilization of the meeting rooms in the workplace.

Alexa allows employees to do certain tasks by using voice commands. For example, set up a conference call or reserve a meeting room in an office. This reduces the time of the organization and takes away the need of arranging everything manually through the calendar.

Commands

“Alexa, book the room” can be said to arrange a meeting, “Alexa who booked the room” can be said to know who´s the manager of the meeting, and other commands can be said to obtain information or give an instruction. Alexa sets end-of-meeting reminders a few minutes before the start of the next meeting, aiming for time management to be accurate.

A big problem that Alexa solves, is the situation where someone books a room but doesn't use it. Alexa can release booked and unused meeting rooms after a time period set by the user. For example, if 15 minutes after the meeting beginning nobody shows up, the meeting is canceled and the room desk occupied.

Alexa allows the users to link their email and calendars to Alexa. Then being able to request Alexa for their needs. Users can ask Alexa to join meetings, schedule meetings, or inform participants of something, for example, if the meeting is canceled or if someone is running late.

You can integrate Alexa into your applications to make it able to offer voice service. By adding voice interface to any service such as Salesforce, you improve the user experience and give a feature not every application is offering.

How does Alexa work? 

Alexa for Business uses information about your users within the organization. When someone requests Alexa to perform a certain action, it is based on the data Alexa currently holds. When somebody says “Alexa, start a meeting”, Alexa uses the location of the device, the information provided of the calendar, and any relevant information the user´s account.

The features of Alexa are four. Meeting Rooms Experience, Meeting room Utilization, Employee productivity, Administration and management.

 Meeting Room Experience

Power your meeting rooms with Alexa. You can control video conferencing and room systems as Cisco TelePresence or Cisco Webex. Alexa for business integrates with office365, Google G Suite, or Microsoft Exchange calendar. With Microsoft Exchange Calendar you can look up your scheduled meeting and automatically join meetings from other platforms as Amazon Chime. BlueJeans, Cisco Webex, RingCentral, Skype, Or Zoom.  

Meeting room Utilization

Alexa provides meeting room utilization metrics such as number of meetings, the most and the least used meeting rooms, the reservation attendance rate, and the unused meeting rooms freed up by Alexa.

The intelligent room release is a feature where Alexa releases the invite on a room´s calendar if no one checks into the meeting. If they use the command “Alexa, join the meeting” they join automatically. The meeting room utilization metrics are used for the performance of the organization. The metrics can be download and analyzed.

Employee productivity

Users can use the Alexa enabled devices at work, in their homes, or on the go. They can use these features without involvement from IT. Admins can invite users to join their Business account.

Administration and Management 

Alexa lets you manage your devices, users, and skills using the Alexa console. To set up your shared devices, Alexa allows you to import decides that you have registered with Amazon. You can also connect your devices to your personal WIFI network, this allows Alexa to scan multiple devices and add them without having to do it individually and manually.

Alexa allows you to link your corporate calendar to your account. This enables meeting information to be stored and then be used. You can require users to do voice recognition, where Alexa recognizes the user by the voice.
